Summary

RMO No. 40-2023 prescribes the policies, guidelines and procedures for the BIR Central Repository System, the official storage of digital documents, files and reports of BIR offices.

Key points

  1. Storage allocation. Each BIR office gets an initial 250 Gigabytes. More capacity needs evaluation and recommendation by the Chief, NMTSD and approval by the ACIR, ISDOS.
  2. Folders and users. Each allocation has initial sub-folders based on the number of sections in the office. Offices first name two (2) authorized users, and the ACIR, ISDOS may approve more.
  3. Access rules. The system is accessed only through BIR-issued computers and laptops on the BIR network. Account creation requires BIR Form No. 0041, Office Automation Request and Acceptable Use Policy (AUP).
  4. Allowed content. Only official digital documents and files may be uploaded. Personal files such as photos, music and videos, and other non-work files, are not allowed, and large backups run after office hours.
  5. Equipment and issues. Offices that plan to buy new or additional Network Attached Storage (NAS) must first consult the NMTSD. Problems with the system are logged in the BIR Service Desk System.
