Key points
- Annual archiving. Integrated Tax Systems (ITS) data that has reached the minimum three-year age is archived or purged annually, preferably during the year-end long vacation. If this coincides with the end-of-year collection rush, it moves to the next available long vacation period.
- Adhoc runs. An adhoc archiving or purging run is allowed only with an accomplished and approved Data Archiving/Purging/Restoration Request Form, plus not enough available disk space and an unsuccessful annual purging.
- Restoration. Archived data is restored only on a duly accomplished and approved request form. It may be restored to help investigate a taxpayer with an existing tax case, at the request of RDOs or Operations Group personnel and with DCIR-Operations Group approval.
- TIN List and schedules. The National Office and RDC Operators execute the TIN List once the request form is submitted. The RDC sends the form to the Systems Maintenance and Support Division-Information Systems Development Service in the 3rd week of November, and pre- and post-activities follow the Order’s schedules.
- Manual. ISG personnel follow the latest Data Archiving and Purging manual, which is revised as procedural changes are communicated to the Security Management Division.
